HAWKS DUGOUT CLUB

MISSION

The mission of the Hawks Dugout Club (the club ) is to support the Rossview High  School baseball program.  The club will provide financial support to the team through various fund raising ventures.  Club members will operate the concession stand, provide field maintenance, and assist the coaches and the team as needed.

VISION

The Rossview High School baseball  program will be the best in the state,  play on a first-rate field, have excellent equipment and uniforms,  and will maximize the potential of each and every player to play at the next level after high school.

BYLAWS

 ARTICLE I:  Membership    

1.      Membership is open to all persons interested in supporting Rossview baseball.

 2.      There are no dues to be a member.

 3.      Voting Members: 

a.       Parents or legal guardians of Rossview baseball players can vote.  A  players’ parents or guardians collectively get only one (1) vote.  In the event that two or more players are in the same family, their parents or guardians have as many votes as the number of their sons on the team.

                  b.  Rossview baseball head coach has one vote.

  ARTICLE II:  Meetings

1.      The President will schedule meetings as often as necessary to meet the mission.  Members will be notified of future meetings with at least 7 days advance notice.

 2.      The president will prepare the agenda.  Only items on the agenda will be discussed at the meetings.  Members can request items be placed on the agenda by contacting the president prior to each meeting.  Items not on the agenda will be addressed at the discretion of the president.

  3.  A quorum is 40% of voting members.  A quorum is needed to conduct a meeting. The  club secretary will advise the president if a quorum is or is not present.

 4.      Meetings will be conducted using Parliamentary Procedure / Robert Rules of Order. 

 5.      A majority-plus-one of the votes cast at the meeting is needed for a motion to pass.
 

ARTICLE III:  Officers 

1.      Voting members shall elect a President, Vice-President, Treasurer, and Secretary.  Nominations for officers will be conducted in March of each year, and final voting  

      will be conducted during April.  Voting does not have to take place at a meeting, but  can be done via e-mail, mail, fax, telephone, or proxy written vote. 

 2.      Officers will serve for one (1) year and are eligible for re-election.  Terms will be from May 1st through April 30th.

ARTICLE IV:  Commitment of Funds

 1.      A club officer’s signature is required for disbursements from the club’s funds. 

2.      Club officers can commit funds up to $499 without a membership vote, but must provide an itemized listing of expenses at the next club meeting.

3.      Proposals or requests to commit club funds exceeding $500 that were not previously budgeted or approved require a vote at a business meeting. A majority-plus one is needed to carry the motion.

 4.      Club officers will review itemized deposits and disbursements at least quarterly.

 ARTICLE V:  Bylaw Changes

1.      Club bylaws will be reviewed annually at the first meeting after election of officers. Proposed changes to the bylaws will be presented and discussed at that time. 

 2.   Changes to the bylaws require a two-thirds (2/3) majority vote of voters present.
